‌‍SurePoint LMS+ Outlook Calendar Integration‍‌

Review your Outlook Calendar events and convert them to time entries

SurePoint LMS+ now integrates with your Microsoft Outlook Calendar. If you choose to enable this integration, you'll see the Outlook Calendar icon in the bottom-right corner of the Time Entry screen. You can use this option to review your Outlook Calendar events in LMS+ and choose which important events need to be converted to time entries.

If you wish to enable this feature, please email the ITDepartment@gustlaw.com

Notes
  • The Outlook Calendar icon is only visible to you. Other users who have timekeeper access to your attorney cannot see the icon to access your calendar in LMS+.
  • The Outlook Calendar icon is only available on the new Time Entry screen. If you're still using the classic WebTime Time Entry screen, click "Try the new LMS+" to switch to the new experience.

How do I use the Outlook Integration?

Step 1. Click the "Outlook" icon in the bottom-right corner of the Time Entry screen.

Step 2. Review your Outlook Calendar Events for a day to determine if any need to be converted to time entries.

Notes
  • Declined events and events that are marked as Private in Outlook are not included in this list.
  • Use the < and > buttons around the date to see the previous or next day's events.

Step 3. Click "Convert to Time Entry" on the card for an event that should be submitted as an LMS time entry for processing.

The event's Date, Hours, and a placeholder Narrative indicating the time entry was started from an Outlook event are populated in the Time Entry form.

Notes
Note: If you had a different timekeeper selected in the Timekeepers menu when you chose to convert an event to a time entry, the timekeeper switches to your attorney so the time entry is submitted correctly.

Step 4. Complete the time entry's data. You can revise the date, hours, and narrative text that were auto populated.

Step 5. Click Save to save the time entry. If the Release button is on the form, you can alternatively click it to release the entry.

The event is converted to a time entry and appears in the Time Entry Grid.

The next time you open the Outlook Calendar Events list for that day, the event will not appear. This helps ensure you don't create duplicate time entries for an event.

Step 6. Review any other Outlook events for the day to make sure you've submitted all necessary time entries.

IdeaTip: You can use the Outlook Calendar Events list as a checklist for needed time entries against your calendar. If you know an event doesn't need to be converted to a time entry, click "X" on the card for the event and then confirm discarding it. Discarded events are not re-synced to LMS+ and will not show up in the list again.
